Duties

Job Summary/Scope of Responsibility:

Responsible for administration, training, coordination, implementation, and management of the clinical and technical applications of the materials management information system (MMIS)

Essential Job Functions:

Administer the Materials Management computer system (MMIS) to include establishing, maintaining, and training all users on the network (user login scripts), auditing and maintaining user login file, adding and deleting users a required, assessing user login passwords, providing assistance as needed

Load and maintain Item Catalog database

Establish and maintain network security to include developing and maintaining security plans and procedures, implementation and monitoring of network security on a consistent basis to insure security goals are met

Monitor user issues/problems. Be the first line of defense for MMIS issues. Determine whether the issue is hardware or software related. Provide solutions to issue and/or contact appropriate backup support as needed. Liaison between in-house Information Systems department and network and software support specialist. Serve as main support for all MMIS applications across WTH

Create, design and test new processes and workflow to expedite, streamline and enhance efficiencies in MMIS and train users where applicable

Support and administer the EDI modules to include the electronic pricing catalog and monthly downloading

Create and maintain audit ties between all applications, transmission, and receipt of all EDI/fax applications and provide continuous training, support, and education to users

Responsible for coordinating, installing, training, and continuous education of new product installations, as well as existing product upgrades fo any MMIS related programs

Responsible for providing monthly closing procedures and the generation and distribution of statistical reports to the Accounting Department, as well as all other departments, including all affiliate hospitals

Responsible for conversions, implementation, testing and training for any MMIS related applications and building data that adheres to WTH polices and procedures. Coordinate and maintain responsibility of monitoring the needs of all affiliate hospitals, home health divisions, and physician clinics providing personal assistance and guidance to include order placement, receipts and customized statistical reporting

Monitor items, receipts, and requisitions for unique purchase orders and vendors that require specific handling processes.

Responsible for the overall efficient operation of the MMIS 27/7 and is subject to call back as needed or required. In periods of unavailabilty, must arrange for coverage during absence and/or make him/her self available for contact

Participates in department and inter-department meetings and committees, as required or directed

Performs related responsibilities as required or directed

Qualifications

Job Specifications:

Education:

BS/Bachelor's Degree Business or Information Technology/Computer Science

Experience:

Experience with Windows based computer applications including Excel, Outlook, and Word

Experience with microcomputers within a local and wide area network environment

Knowledge, Skills and Abilities:

Knowledge of computer skills and ability to teach/train

Requires the ability to work with microcomputer applications. Requires the ability to work within given time frames. Must possess organizational and analytical ability to conceptualize and organize department standards toward the realization of departmental and organizational goals

Interpersonal Skills Requirements:

Frequent interaction and communication with personnel and other hospital departments. Requires the ability to communicate effectively with all levels of hospital personnel and administration to coordinate activities, exchange information, and provide technical/professional advice

Contributes to a positive work environment and the overall team effort of the department

Direction/Supervision Requirements:

Under the supervision of the Purchasing Manager

Physical Demands:

Occasional walking and standing

Long periods of microcomputer use

Environmental Conditions:

Frequent mental/vision strain in conceptualizing, organizing, developing and defining Microcomputer applications for the purpose of operationalizing department goals

Other Job Requirements:

Must adhere to departmental safety procedures
