Office Manager (Trenton TN)

Duties

Job Summary:

Provides leadership, direction and administration to all aspects of the clinic operations except for those involving professional medical judgment. Responsible for assessing, planning, implementing and maintaining clinical business flow.

Essential Job Functions: 

  • Co-ordinates all billing functions for the clinic and physician's billing department
  • Continually monitor operations, programs, physical properties and recommend appropriate changes as needed
  • Keeps management informed about trends, problems and activities that impact clinic operations and policies
  • Assists with maintaining ordering within budget guidelines and analysis
  • Works with Director to resolve medical and administrative problems and keeps line of communication open to ensure high employee morale in the clinic environment
  • Handles all appointment scheduling, patient registration, data entry, insurance verification and scanning to EMR
  • Handles the of release of patient records by faxing or mailing per patient's signed release or a verified court order
  • Receives and distributes mail and other correspondence
  • Assures and monitors compliance with guidelines as directed by regulatory agency
  • Participates in departmental in-services and meetings
  • Develops and maintains, revises as necessary the required administrative policies and procedures manual including forms manual as an addendum to departmental policies and procedures
  • Monitors supply inventory for appropriate controls and usage
  • Liaison to Medicare, TennCare and other third party representatives regarding patient eligibility
  • Contributes to a positive work climate and overall team effort of the department
  • Assists team members, helps develop team cohesiveness and aligns individual efforts with the group
  • Exhibits ADET and guest excellence skills at all times
  • Performs related responsibilities as required or directed  

Qualifications

Education:

  • High school diploma

Experience:

  • 2-5 years of experience in healthcare operations 

Knowledge, Skills and Abilities:

  • Data entry, data retrieval skills mandatory, thorough understanding of the factors and techniques of computers and their use
  • Knowledge of Medicare, TennCare and insurance
  • Ability to work independently and prioritize workloads to meet numerous deadlines

  •  Requires pertinent, cognitive, visual and motor skills necessary to perform job-related activities
  • Daily contact with employees, patients, family members, physicians and vendors
  • Interactions with others are constant and interruptive
  • Must be able to be courteous and helpful to all external and internal guests
  • Contributes to a positive work environment and the overall team effort of the department

Direction/Supervision Requirements:

  • Handles the daily supervision of operational issues regarding the clinic's Business Office/Front desk operations
